This Privacy Policy explains how Suteki Stickers collects, uses, stores and shares personal information when you visit or use sutekistickers.com, place an order, create an account, join a subscription, sign up for marketing, attend an event, contact me or otherwise interact with Suteki Stickers.

I take your privacy seriously and aim to handle personal information fairly, transparently and only where it is reasonably necessary.

1. Who Is Responsible for Your Information?

For the purposes of UK data protection law, Suteki Stickers is the data controller responsible for the personal information described in this Privacy Policy.

2. Personal Information I May Collect

The personal information collected depends on how you interact with Suteki Stickers and which services or features you use.

This may include:

• Contact information, such as your name, email address, telephone number where provided, billing address and delivery address.
• Order information, including products purchased, order history, delivery information, returns, refunds and communications relating to an order.
• Customer account information, such as information associated with your Shopify customer account, saved addresses, preferences and order history.
• Subscription information, including your subscription products, frequency, renewal information, delivery information and subscription preferences.
• Limited payment and transaction information, such as the payment method used, transaction status and limited card information such as the last few digits. I do not have access to your full card number.
• Marketing information, including information you provide when signing up to receive marketing emails and records of your marketing preferences.
• Wishlist and notification information, such as products saved to your wishlist or products you have asked to be notified about.
• Review information, including reviews, ratings and related information you choose to submit.
• Personalisation information, such as names, wording or other text you provide when ordering a personalised or custom product.
• Communications, including emails, contact form submissions, social media messages and other correspondence with Suteki Stickers.
• Technical and usage information, such as IP address, browser or device information, website activity and information collected through cookies and similar technologies.
• Event information, where relevant, as explained below.

3. Payment Information

Payments made through the website are processed through Shopify and the payment provider you choose at checkout.

Payment options may include Shopify Payments and third-party payment providers such as PayPal and Clearpay.

Your full card details are handled by the relevant payment infrastructure and are not made available to me. I may receive limited information about the transaction, such as the payment method, payment status and partial card details.

For subscription purchases, recurring payments are handled through Shopify's payment infrastructure. Appstle Subscriptions is used to manage subscription information but does not provide me with access to your full card details.

When card or contactless payments are accepted in person, payment information may be processed by the payment provider being used at the time, which may include services such as Shopify POS, Square or another payment provider.

4. How I Use Your Personal Information

I may use personal information to:

• Process, fulfil and deliver orders.
• Take and process payments.
• Manage customer accounts.
• Provide and manage subscriptions.
• Provide wishlists and requested product or back-in-stock notifications.
• Provide personalised or custom products.
• Process returns, refunds and customer service enquiries.
• Communicate with you about your order, subscription, account or enquiry.
• Collect and display product reviews.
• Send marketing emails where permitted.
• Send abandoned-cart or similar shopping reminders where permitted.
• Understand how customers use the website and improve the website and services.
• Measure marketing and advertising performance.
• Show personalised advertising where applicable and permitted.
• Prevent fraud, misuse and security incidents.
• Organise and operate Suteki Stickers events.
• Maintain appropriate business, tax and accounting records.

5. Lawful Bases for Processing

UK data protection law requires me to have a lawful basis for processing personal information. The basis used depends on why the information is being processed.

I may rely on:

• Contract – where processing is necessary to provide something you have ordered or requested, such as processing an order, delivering products or managing a subscription.
• Legal obligation – where information must be processed or retained to comply with applicable law, including tax, accounting or other legal requirements.
• Legitimate interests – where processing is reasonably necessary for operating and protecting Suteki Stickers, improving services, responding to customers, preventing fraud or dealing with business matters, provided those interests are not overridden by your rights and interests.
• Consent – where you have made a choice to allow particular processing, such as certain marketing, cookies or the processing of particular information where consent is required.

Where I rely on consent, you may withdraw that consent at any time. Withdrawal does not make processing carried out before withdrawal unlawful.

6. Marketing Communications

If you choose to subscribe to Suteki Stickers marketing, I may use the information you provide to send you email marketing, including product news, releases, offers and other Suteki Stickers updates.

Suteki Stickers does not currently use SMS marketing or run postal marketing campaigns. Promotional materials may, however, be included inside orders being sent to customers.

Email marketing and related automations are primarily managed using Omnisend, with Shopify or other appropriate services used where relevant.

Marketing emails include a way to unsubscribe. You can also contact hello@sutekistickers.com if you would like help changing your marketing preferences.

If you unsubscribe, limited information may still be retained where necessary to record and respect your opt-out preference.

Suteki Stickers does not sell or rent customer lists or provide customer contact information to unrelated businesses for their own direct marketing.

7. Abandoned Carts

If you begin placing an order but do not complete checkout, information about your shopping activity may be used to send abandoned-cart or similar reminders where this is permitted.

These communications may be managed through Omnisend, Shopify or related ecommerce functionality.

8. Customer Accounts

Customers may create and use customer accounts through Shopify and associated apps.

Depending on the features you use, your account may contain information such as your name, contact details, saved addresses, order history, subscription information, wishlist information and preferences.

Account authentication and associated technical functionality are provided through Shopify and relevant integrated services. I do not have access to customer passwords.

9. Subscriptions

Suteki Stickers uses Appstle Subscriptions to provide and manage recurring subscriptions.

Appstle may process information required to operate your subscription, such as your contact details, delivery information, subscription choices, order information and renewal information.

Recurring payment information is handled through Shopify's payment infrastructure. I do not receive or store your full card details.

10. Wishlists & Product Notifications

Suteki Stickers uses Flits to provide wishlist functionality and customer-requested product or back-in-stock notifications.

Where you use these features, relevant information may be processed to remember products you have saved or to send notifications you have requested.

Using a wishlist or requesting a product notification does not, by itself, mean that you have agreed to receive unrelated general marketing.

11. Reviews

Suteki Stickers uses Judge.me to provide product review functionality.

If you submit a review, information associated with that review may be processed by Judge.me and Suteki Stickers for purposes such as collecting, verifying, managing and displaying customer reviews.

Please remember that information you choose to include in a publicly displayed review may be visible to other visitors to the website.

12. Shipping, Delivery & Fulfilment

To deliver your order, I may share the information reasonably necessary for delivery with postal, courier and fulfilment providers.

Depending on how your order is fulfilled, these providers may include Royal Mail, Transglobal Express and other appropriate delivery services.

Information shared for delivery may include your name, delivery address and relevant contact or order information.

Tracking and delivery updates may be provided through Shopify and/or the relevant delivery provider.

Some products may be produced and fulfilled directly by a third-party fulfilment provider. Suteki Stickers currently uses Gelato for certain print-on-demand products. Where Gelato fulfils an order, it may receive the information reasonably necessary to produce and deliver that order, including the recipient's name, delivery address and relevant product/order information.

13. Returns & Customer Service

Returns and refund enquiries are generally handled directly by Suteki Stickers, usually by email.

If a return label or collection needs to be arranged, relevant information may be provided to the applicable delivery provider.

If a customer reports a problem with a product, I may provide relevant complaint details or photographs to the product's supplier or manufacturer where reasonably necessary to investigate or resolve the issue.

I do not routinely provide suppliers with the customer's identifying or contact information for this purpose.

14. Events

If you attend or book a Suteki Stickers event, I may process information needed to administer and safely run the event.

Depending on the particular event, I may ask for additional information through an attendee form. This may include information such as your address where event materials need to be sent, dietary requirements and accessibility requirements.

An address may be requested where it is necessary to send an attendee an event pack or other event-related materials, including where the attendee is different from the person who originally purchased the ticket or needs materials sent to a different address.

Dietary & Accessibility Information

Dietary and accessibility information can sometimes reveal information about a person's health or other sensitive circumstances and may therefore constitute special category personal data.

Where I ask you to provide this information, it is used to help organise the event and make appropriate arrangements for attendees.

Where required by data protection law, I rely on your consent and explicit consent to process this information. Providing this information is voluntary, although I may be unable to make a particular dietary or accessibility arrangement if I am not told what is required.

You can withdraw your consent by contacting hello@sutekistickers.com. Please be aware that withdrawing information shortly before or during an event may affect my ability to provide an arrangement you previously requested.

Event Forms

Event information may be collected through third-party form services such as Tally, Google Forms or Microsoft Forms. The provider used for a particular event may therefore process the information you submit through that form.

Additional attendee information collected specifically for organising an event is deleted when it is no longer required after the relevant event, subject to any information that must be retained for legal, accounting, dispute or other legitimate purposes.

Information submitted through an event form is not treated as consent to receive general marketing unless you separately choose to sign up for marketing.

Event Photography & Video

Photographs and video may be taken at Suteki Stickers events for purposes including documenting the event and promoting Suteki Stickers and future events.

Selected photographs or video may be used on the Suteki Stickers website, social media, email communications or other promotional material.

If you would prefer not to be photographed, please let me know before or during the event and I will make reasonable efforts to accommodate your request. Due to the nature of group events, I cannot always guarantee that an attendee will not appear incidentally in wider photographs or footage.

Suteki Stickers may occasionally use a photographer or videographer to capture event media on its behalf. They may process photographs or video as necessary to provide that service.

Official event photographs and videos may be retained after the event for business records, content and future promotional use.

This section relates to photography and video taken or controlled by Suteki Stickers. Other attendees or the event venue may take photographs independently, and their processing is not controlled by Suteki Stickers.

15. Forms, Surveys & Feedback

I may occasionally use online forms to collect information for specific purposes such as event administration, customer feedback or surveys.

These forms may be provided using services such as Tally, Google Forms or Microsoft Forms.

The information requested and the reason for collecting it will depend on the particular form. I will only use the information for appropriate purposes connected with the reason it was collected, unless another lawful basis applies.

16. Email & Other Communications

Business email for Suteki Stickers is provided using Google services.

If you email hello@sutekistickers.com, Google may process and store the information contained in your communication as part of providing the email service.

Customer service emails and other communications may be retained for as long as reasonably necessary to deal with enquiries, maintain relevant order or customer records, resolve disputes and comply with legal or business record-keeping requirements.

17. Social Media

If you contact Suteki Stickers through social media, such as Instagram or Facebook, I may process the information you choose to provide in order to respond to your message or enquiry.

The social media provider will also process information relating to your use of its platform under its own privacy terms.

18. Cookies & Similar Technologies

Suteki Stickers and its service providers use cookies, pixels and similar technologies to operate the website, remember preferences, understand how the website is used, protect the store and, where applicable, support marketing and advertising.

These technologies may include:

• Essential technologies needed for the website, checkout, security and other requested functionality to work.
• Analytics technologies, including Google Analytics, which may be used to understand website traffic and how visitors interact with the store.
• Advertising and marketing technologies, which may include Meta Pixel and Shopify-related advertising functionality, to measure advertising or support personalised advertising where used.

Where consent is required by law, relevant cookies or similar technologies will only be used in accordance with the choices you make through the website's cookie consent controls.

You can use the website's cookie preferences to manage available choices and, where applicable, withdraw consent.

Some technologies that are strictly necessary for a service you have requested, or that fall within another applicable legal exception, may operate without consent where the law permits this.

19. Analytics & Advertising

I may use analytics services such as Google Analytics to understand how visitors use the website and to help improve Suteki Stickers.

The website also has Meta technology installed and may use advertising or measurement functionality provided by Meta or Shopify.

I do not currently run all possible forms of personalised advertising, but these services may be used in the future where appropriate.

Where advertising or tracking activity requires consent, it will be subject to the applicable cookie/privacy choices.

Suteki Stickers does not sell or rent customer lists to advertisers.

20. Fraud Prevention & Security

Personal and transaction information may be processed to detect, investigate and prevent fraud, misuse, unauthorised transactions and security incidents.

Shopify, payment providers and other relevant service providers may carry out automated fraud or security checks as part of providing their services.

Suteki Stickers does not use automated decision-making to make other decisions about customers that produce legal or similarly significant effects.

21. Who Personal Information May Be Shared With

I may share personal information with service providers where reasonably necessary to operate Suteki Stickers and provide the services you request.

Depending on how you interact with the business, these may include:

• Shopify, which provides the ecommerce platform, customer accounts, checkout and related services.
• Payment providers such as Shopify Payments, PayPal and Clearpay.
• Omnisend for email marketing and ecommerce communications.
• Appstle Subscriptions for subscription management.
• Flits for wishlists and requested product notifications.
• Judge.me for product reviews.
• Royal Mail, Transglobal Express and other delivery providers.
• Gelato where a print-on-demand product is fulfilled directly through its service.
• Google for services including business email, analytics and forms where used.
• Meta for social media and advertising/measurement technologies where used.
• Tally or Microsoft where their form services are used.
• Photographers or videographers engaged to provide event photography services.
• Professional advisers, regulators, authorities or other parties where disclosure is required or permitted by law.

I aim to provide service providers only with information reasonably necessary for the relevant purpose.

I may also disclose information where reasonably necessary to protect legal rights, investigate fraud or security incidents, comply with legal obligations, respond to lawful requests, or establish, exercise or defend legal claims.

22. Occasional Order Fulfilment Assistance

Suteki Stickers is primarily operated by me.

On occasion, I may have assistance with packing orders in the Suteki Stickers office. This takes place under my supervision.

A person helping with fulfilment may therefore see the limited information necessary to pack and dispatch an order, such as a customer's name and delivery address. They are not given customer information for their own purposes.

23. How Personal Information Is Stored & Protected

Personal information may be stored through Shopify and the service providers described in this Privacy Policy.

Some business information may also be stored locally where necessary. Locally stored information is kept on a password-protected device with access restricted to me.

I take reasonable steps to protect personal information against unauthorised access, loss, misuse or disclosure.

However, no internet transmission, electronic system or storage method can be guaranteed to be completely secure.

24. How Long I Keep Personal Information

I keep personal information for as long as reasonably necessary for the purpose for which it was collected and for legitimate business and legal requirements.

The appropriate retention period depends on the type of information and why it is held. Relevant considerations may include:

• Providing and maintaining customer accounts, orders and subscriptions.
• Maintaining transaction, tax and accounting records.
• Responding to customer enquiries.
• Preventing fraud and maintaining security.
• Resolving disputes.
• Establishing, exercising or defending legal claims.
• Complying with legal obligations.

Historic order and customer information may therefore remain within Shopify where it is reasonably required for these purposes.

Additional attendee information collected specifically to organise an event is deleted when it is no longer needed after the relevant event, subject to any continuing legal or legitimate requirement to retain particular information.

Event photographs and videos are not subject to the same automatic deletion practice and may be retained for business records, content and promotional purposes.

25. International Transfers

Some of the service providers used by Suteki Stickers operate internationally. This means personal information may sometimes be processed or stored outside the United Kingdom.

Where UK data protection law requires safeguards for an international transfer of personal information, the relevant transfer must be made using an appropriate legal mechanism or other protection recognised under UK law.

The privacy policies of the relevant service providers contain further information about how they process and transfer personal information.

26. Your Data Protection Rights

Depending on the circumstances, UK data protection law may give you rights in relation to your personal information.

These may include the right to:

• Ask for access to personal information held about you.
• Ask for inaccurate or incomplete information to be corrected.
• Ask for personal information to be deleted in certain circumstances.
• Ask for processing to be restricted in certain circumstances.

For example, if you ask me to delete your information, I may still need or be permitted to retain certain records for purposes such as tax, accounting, fraud prevention, resolving disputes or establishing, exercising or defending legal claims.

The Suteki Stickers website is a general retail website and is not specifically designed to collect personal information from children.

I do not knowingly seek unnecessary personal information directly from children where parental or guardian involvement would be appropriate.

Where children attend a Suteki Stickers event, any event-specific requirements concerning children, supervision or parental/guardian involvement will be communicated as appropriate for that event.

If you are a parent or guardian and believe that a child has provided personal information to Suteki Stickers inappropriately, please contact hello@sutekistickers.com so I can look into it.

The Suteki Stickers website may contain links to third-party websites, platforms or services.

I may update this Privacy Policy from time to time to reflect changes to Suteki Stickers, the services and technology I use, legal requirements or the way personal information is processed.
